Our client, a well known Corporate Services Provider in Malta, is currently looking to recruit a Junior Corporate Administrator to join their team

Responsibilities:
  • Support in preparing and submitting forms for changes in company involvement details (e.g., shareholder updates, director changes, company secretary appointments/removals).
  • Assist in preparing documentation for change of registered office address and ensure timely submission.
  • Assist in the preparation and filing of documents related to changes in Beneficial Ownership (BO) details.
  • Help in coordinating updates to the Malta Business Registry (MBR) to reflect corporate structure changes.
  • Assist in obtaining corporate documents such as Memorandum & Articles of Association, Certificate of Incorporation, and Good Standing Certificates.
  • Liaise with notaries, lawyers, and regulatory authorities to arrange for document legalisation and apostille services.
  • Ensure proper storage and accessibility of corporate documents for internal and client use.
  • Support in updating internal registers, including those for directors, shareholders, and beneficial owners.
  • Ensure that statutory changes are properly recorded and aligned with company policies.
  • Help in liaising with the Malta Business Registry (MBR) for day-to-day corporate matters.
  • Act as a point of contact for basic client queries related to company changes and document arrangements.
  • Support senior corporate officer in day-to-day company administration matters.
  • Assist in maintaining corporate files and records for multiple clients.
  • Support in monitoring statutory deadlines and ensuring that filings are completed on time.
  • Provide administrative assistance for invoicing, payments, and document tracking.
  • Attend training sessions on corporate governance, compliance, and company administration.
  • Gain hands-on experience in handling MBR submissions and other company-related Shadow senior corporate officers to develop a deeper understanding of Maltese corporate law.
Requirements:
  • Minimum of 1 year of local experience in corporate administration or a similar role.
  • Highly self-organized with the ability to manage workload independently and stay motivated.
  • Strong ability to prioritize tasks, manage deadlines, and handle multiple responsibilities effectively.
  • A proactive, solution-oriented mindset with a commitment to delivering excellent client service.
  • Strong ability to collaborate with team members, stakeholders, and clients in a professional manner.
  • Excellent written and verbal communication skills in English.
  • Good computer skills, with advanced knowledge of Microsoft Word, Excel, and Outlook.
